Print one record per item. Assign an ID to the holder and photographs, never to the coin. Record observed facts separately from seller claims. Use YYYY-MM-DD for dates, and specify the currency for every cost. Keep receipts and original photographs with the record.
Hypothetical example: C-001; United States quarter; Virginia, 2000, P; found in change; visible wear and a small rim mark; album slot VA. Grade and market value remain unassigned.
