YENRA WEDDING BUDGET WORKSHEET Guide: https://yenra.com/wedding-budget/ Updated: October 7, 2026 HOW TO USE Save a private copy and edit in a text editor. Use one currency throughout; write its name below. This text file does not calculate automatically. Repeat the vendor and payment records as needed. Replace estimates with contract totals when booked, and record each payment only once. REPEAT FOR EACH VENDOR OR EXPENSE Category / supplier / contact: ____________________________________ Scope, date, hours, locations and quantities: ______________________ Status: estimate / written quote / contracted / fully paid Fixed cost: ______________________________________________________ Per-person or unit cost, quantity and subtotal: ____________________ Taxes, service charges, delivery, setup and other extras: __________ Latest full cost, including all applicable extras: _________________ Amount already paid toward this cost: _____________________________ Remaining payable = latest full cost minus amount paid: ___________ Refundable security deposit and return conditions (separate): _____ Included gratuity / optional gratuity decision: ___________________ Guest-count deadline / minimum commitment: ________________________ Cancellation, postponement, changes and refund terms: _____________ Open question / owner / answer needed by: _________________________ Contract or quote reference: ______________________________________ REPEAT FOR EVERY PAYMENT OR FUNDING ARRIVAL, IN DATE ORDER Due or arrival date: ______________________________________________ Expense or funding source / payer: ________________________________ Money arriving by this date: ______________________________________ Payment due by this date (include security deposits): ______________ Confirmed paid or received / date / receipt reference: _____________ Running cash balance: previous balance + arrivals - payments = ____ Resolve a negative projected balance before making the commitment. Start the first balance with wedding money available now; do not add that starting money a second time as a later arrival. TOTAL CHECK Sum of latest full costs: _________________________________________ Remaining contingency: ____________________________________________ Projected total = sum of full costs + remaining contingency: ______ Headroom = spending ceiling minus projected total: ________________ Sum of amounts already paid toward those costs: ___________________ Remaining costs = sum of full costs minus already paid: ___________ Also check the separate cash effect of refundable deposits. When a new committed cost uses contingency, lower the remaining contingency by that amount. Track any funds actually returned. FICTIONAL WORKED EXAMPLE - DOLLARS, NOT MARKET PRICES Ceiling: $12,000. Contingency: $1,200. Planned spending: $10,800. Fixed costs: $6,000. Fully loaded variable cost: $60 per guest. 80 guests: $6,000 + (80 x $60) = $10,800; plus reserve = $12,000. 90 guests: $6,000 + (90 x $60) = $11,400; plus reserve = $12,600. Real minimums, additional tables or staffing may change this model. The 10% reserve in this example is illustrative, not a general rule. Deposit example: $2,000 full cost - $500 paid = $1,500 remaining. The deposit is part of the $2,000, not an additional $500 expense.
