HANDWRITTEN NOTE CAPTURE AND EXPORT CHECKLIST Purpose: test whether a capture workflow preserves notes you can use elsewhere. Choose the actual pen/tablet, application, version and export destination. A compatible active stylus, a paper-capture pen and a camera scan are different workflows. Verify manufacturer requirements for the chosen combination. Equipment/app/version: Notebook or paper requirements: Offline capture and later synchronization behavior: Source notebook/file location: Searchable-text output: Visual-page output: Destination application and account: Ownership / access / backup / retention choices: Pilot with real-looking sample notes, avoiding sensitive test data: [ ] Include headings, names, numbers, diagrams and a second page. [ ] Preserve the original page appearance as well as useful text. [ ] Search for known terms and verify the actual match. [ ] Compare transcription against the handwritten reference. [ ] Check names, dates, amounts, negations and other consequential wording. [ ] Open exported files outside the original app and check every page. [ ] Confirm links, attachments and diagrams survived as required. [ ] Test recovery from the chosen backup. [ ] Record what remains tied to the original service. Fictional transcription calculation: Reference has 50 words. Minimum word-level alignment identifies 3 substitutions + 1 deletion + 1 insertion = 5 errors. Word error rate=(S+D+I)/reference words=5/50=10%. Specify tokenization and punctuation rules before comparing outputs. This measure does not assess diagram fidelity or the seriousness of an error; it can exceed 100% when many words are inserted. Apple's iPadOS 26 Notes instructions state that exporting a note containing a multipage PDF or scan to PDF includes only the first page of that attachment. Check the version-specific documentation and test your actual export. Source guide: https://yenra.com/digital-pen/ Prepared October 4, 2026.
